Legacy’s policy for student tours is that students who are staying with ONLY other students in the room should register for and plan to be in a QUAD room. The quad rate is the least expensive, safest in numbers, and also allows us to formulate the necessary number of rooms we can plan for and book with our hotels. Allowing students to choose from a single, double, or triple could easily result in not having enough rooms to accommodate your group, especially since rooming lists are typically created much closer to departure.
Adults may choose from the quad, triple, double, or single options and may elect to have their student with them. However, a student who is staying with an adult in a quad, triple, or double will be required to pay the appropriate rate that matches their stay.
**Each school sets their own policy about students rooming with an adult who is not their parent. Please contact your school/group leader for more information on their policy.
Unfortunately, only students are guaranteed a quad room/rate (unless they elect to stay with an adult). Adults will be required to pay the rate that they stay. Rooming lists are often very challenging to create and are handled by the school. Keep in mind that there are not always enough parents/adults to make even quad rooms. Should you be registered as a quad and discover at the time of the rooming list you are staying with less people, your room/trip status will be adjusted accordingly. Your amount due will reflect this change.
Rooming lists will be created by the school/group leader and are typically done about 3-4 months prior to departure. Questions or rooming requests will be handled through them. Once rooming lists are completed and sent to Legacy, we ask that no changes be made.
If your school is planning to have Legacy do a packing meeting prior to departure (most schools do), food allergy / intolerances will be discussed, and a form will be provided to you to fill out. This is important information for us to know so that we may contact and make necessary arrangements with our vendors.
Please make sure that Legacy and your school lead/group leader is aware of any special needs/allergies.
Hawkeye Stages motorcoaches are equipped with outlets at each seat for ample charging of your phones. Should you be needing to plug in or charge a different item (i.e. medical device), please contact Legacy to discuss. We do not typically provide Wi-fi on our student tours, especially our educational tours. Educational tours are busy, and we find that having Wi-Fi is not necessary. Should a performance group or non-educational/program tour feel the need to request a Wi-Fi hotspot, please contact Legacy.
If you have not received any trip registration materials, please contact your school/group leader or contact our office. Registration is private and accessible to only school families. You will need a special link/code to register.
If your school elects to use our registration/payment portal method, you will be provided with information on how to register and a link directly associated with your school trip. Once you are registered and the initial deposit is paid, the rest of the trip will be paid for in installments, or you may choose to pay in full. We use We Travel as our payment portal/processor.
Yes! You are able to make smaller payments along the way to help budget for the trip. Simply log in with your We Travel credentials and click on Payment. You will be able to select and submit your payment amount. Any smaller payments made along the way will reduce your automatic payment that is scheduled next.
Yes! Family and friend contributions are certainly encouraged and welcomed. Provide your family/friend with the link to your account and this will allow them to make a payment online in any amount they wish.
Unfortunately, we do not piece out any of our tours into smaller sections. Especially with our educational tours, we feel the entire package is important and will allow you to get the most out of your trip.
Should a parent wish to meet up with the group/student at a particular destination, all travel costs, accommodations and entrance fees into activities / venues are the responsibility of the parent. There is no guarantee that he/she will be able to join the group directly. If you have further questions or are considering this, please contact Legacy Student Travel directly to discuss options.
Keeping all our travelers safe is our #1 priority. We take safety very seriously. Safety measures will be shared on our motorcoaches on Day 1 and our Hawkeye Stages drivers do daily routine safety prechecks on all of our coaches while out on tour.
A good chaperone / adult to student ratio is very important to us, especially for those traveling with middle school students. The majority of our educational tours will have a Legacy tour guide / educator who accompanies the tour, and for those that do not, an option to have a Legacy guide / host is always available. For those tours who have a Legacy guide / host, the REMIND system will be used with the group to help with ongoing communication and as a tool in the event of an emergency. Legacy does offer optional hotel security, should you prefer this.
